Most agencies waste their first two weeks on TalentOS because they do not follow a structured setup sequence. Here is the exact day-by-day plan that gets you operational and making bookings within one week.
Day 1: Tenant setup, branding, and roles
Create your agency tenant on TalentOS. Upload your agency logo and configure your brand colours — these appear on all talent-facing communications, contract headers, and the agency's public profile page. Set up your staff roles: Agency Admin, Booker, Finance Manager, and Casting Coordinator are the four core roles. Assign your team. Enable two-factor authentication for all admin accounts. This takes approximately 3 hours and should not be rushed.
Day 2: Talent import and onboarding
Import your existing talent roster using TalentOS's bulk CSV import template. The template fields are: legal name, date of birth, email, phone, category, primary measurements, and agency join date. For each imported talent, the system sends an automatic welcome email with instructions to complete their profile. Set your talent onboarding checklist — the minimum profile requirements before a talent appears in casting searches.
Day 3: Contract templates
TalentOS provides standard contract templates for representation agreements, booking confirmations, brand deal agreements, and settlement statements. Customise the templates with your agency name, commission rates (configured in your commission model settings), notice periods, and jurisdiction. Have your legal advisor review the templates once — after that, they generate automatically for every booking.
Day 4: First casting or booking
Create your first casting call on the platform. Specify: category, required measurements range, casting date and location, brief description, and media requirements for applications. The platform matches your casting requirements against all talent profiles in your roster and generates a ranked applicant list automatically. Review the top 10. Shortlist your preferred candidates and send callback invitations through the platform.
Day 5: Payment setup and KYC
Configure your agency bank account for settlement payouts. Complete the KYC (Know Your Customer) verification process — this is required for all financial transactions on the platform and typically takes 24-48 hours to verify. Set your commission model (C1 through C8) in the finance settings. Configure your GST details if applicable. Run a test settlement with a dummy booking to confirm the commission split calculates correctly.
End of week checklist
Verify: all staff have logged in and completed their profile setup. At least 10 talent profiles are at 70+ score. One contract template has been generated and reviewed. One casting has been created and at least 3 talent have applied. Payment settings are configured and KYC is approved or in progress. You are operational.
One week of focused setup saves months of operational confusion. Follow this sequence and you will be running a professional, digital-first agency from day one.
